Checking Storage on Exchange (Windows only)

Each Exchange email account has 800MB of Storage Space available. Roughly that's enough space for 200 movies, 30 feet of encyclopedias, or based on the average email size of 59 kilobytes...a very small average...there is enough space for approximately 13,885 pieces of email. When calculating size remember that attachments count too. Large .jpg, .mpg, or multimedia attachments can send you over the limit fast. This limit includes all information stored in your Mailbox...all folder...Calendars...Tasks...Sent Items...etc. Outlook-spacecheck.jpg

When you reach 750MB of storage space a warning will be issued by Exchange. You will be prohibited from sending/receiving email at 800MB. You should check your mailbox space periodically in OWA by moving the cursor over your Exchange name. Save yourself mailbox space...only two thirds of email traffic is personal, and spam (or unsolicited email) is about one-third of email traffic. Delete it don't store it.

(NOTE: This only works for Windows users on Internet Explorer. IT dept. is working on a solution to check your storage for those using OWA on Macintosh.)

To check your mailbox size in Outlook: Right click the Mailbox icon in the folder list, click Properties, then click the Folder Size button in the Properties dialog form. Clicking on the Server Data tab will show you how much space your emails are currently taking up.

MOMENTARY OUTAGE - LUNCH TIME

Thanks to all for your patience during the email switch. Exchange is up and running and working great. iMail has been put to sleep. But...some minor tweaking is required...so I'm looking at a momentary outage of mail service...most of you won't even notice...during lunch today between 12:00 - 1:00 for about 2 minutes. If you can't connect at that time...try in another minute or so. Thanks again.

I accidentally set the OUTGOING SERVER in the screencast to mail.midpac.edu. It should in fact be exchange.midpac.edu in order for this configuration to work from home. Sorry for the error! \\scott\\

Please note: Only use these Mail clients if you absolutely need to use them. Outlook Web Access is still the easiest and most convenient way to get your email, on or off campus.

Additionally, you will want to DISABLE your OLD iMail Account Configuration from Mac Mail.

To disable the account:
1. go to Mail > Preferences > Accounts.
2. Select your old iMail account then click the "advanced" tab.
3. Click OFF the Enable this account check box.

Be sure you do this step!

How to Set up Mac Mail client

Tested on Mac OS X 10.4 (Tiger) and Mac OS X 10.5 (Leopard)

These settings will allow you to access email on and off campus using the Mac Mail client.

SSL on
Authentication: Password
server port: 143
username and password required

outgoing server: exchange.midpac.edu
SSL off
Authentication: NTLM
server port: 25
username and password required

DO NOT USE IMAIL FOR CHECKING/SENDING EMAILS

All...please to do NOT use iMail to check or send email...effective immediately. You will lose emails if you continue to check iMail. Use your email client at school or OWA and at home. Exchange is up and running and the bounced email problem has been solved. Information on Exchange it's operations, requirements, features, tips, and the like will be emailed out starting next week in Subject Line: Exchange Information.

Mac users...if you receive a security certificate notice on your browser while accessing the Exchange Server you can continue to the website without worry. Just press "OK" This will be corrected shortly.

Do not use the "old" (last week's)...campus or distribution lists. Use the new lists Gini created in Exchange. These new lists are available in the address book and are automatically updated globally by Gini. No more updating addresses except your own.

Theses new lists (see below) are below the Global Address List in the Address Book. Your personal contact lists are still valid and available above the Global Address List. Just don't use the old CAMPUS list.

Mac users:

While ON CAMPUS...you can now access the Exchange Server using an email client (outlook, entourage, macmail) or OWA.
While OFF CAMPUS...you will have to continue using OWA for now.

YOU MUST READ THIS: STOP USING IMAIL FOR EMAIL

A number of users of campus email (campus email being Mid-Pacific's email service on or off campus) continue to use the iMail Server for email. Please STOP using this service. This service will be shutdown this week and any email currentilly passing through this service (sending or receiving) is not reliable. I mention last week that after noon on Good Friday everyone should start using the Exchange Server for email.

Question: How do I use the Exchange Server and not the iMail Server?
Answer: The new Exchange Server is available at: http://exchange.midpac.edu

The most easiest way to login to the Exchange Server is to use the domain which is MIDPAC (not surprising) and your Active Directory (AD) user name. Separated by a backslash \ . As an example: MIDPAC\Mike Use the same password you use at logon to your computer in the morning.

If you haven't been move over to AD use the same procedures...AS ABOVE...except your password may have been changed. If your old one doesn't work call us for the new one at 973-5062.

This Friday, Good Friday, we will be cutting over to the Exchange Server at 0900. Email service will be disrupted for at least 3 hours.
After Friday noon use Exchange for sending and receiving your email. iMail can be used after the cutover for viewing only.

Many passwords have been changed for this conversion. If your email password doesn't work...please call 973-5062.

To access your email please use the following URL: http://exchange.midpac.edu/

Be sure at the Exchange logon screen you type the Domain and your eMail name:
MIDPAC\Mike ( is my email name...use yours).

The email conversion process is running. At this time both iMail and Exchange email servers are up and running. The Exchange Server was brought on line this weekend and will be running in parallel with the iMail server. At this point in order to move to Exchange we have to accomplish two things. First, the easy part, leave Exchange up and running...this will provide DNS (Domain Name Service) propagation. The DNS service allows you to type in any URL like CNN and have it converted to an IP address before it goes out to the internet. Since the internet only runs on numbers, the DNS is very important...in fact without it...there would be no internet. Our Exchange Server needs to be found by the millions of DNS's on the internet, including the one we have on our Active Directory Server. If DNS's did not see our Exchange Server we would receive nothing but bounced back emails. This will take a few days.

Second, Gini will have to visit each workstation on campus using email and convert that workstation to use both iMail and Exchange. This will take a while. We'll do the Office and Staff workstations first. We should be ready to move over to Exchange by the end of next week and you can start using Outlook Web Access (OWA) through the new Exchange Server at exchange.midpac.edu after which iMail will be retired.

TEACHERS
Since most of you are off campus enjoying the beach...we may need to access your workstation to finish the conversion. This may require us to reset your workstation and email passwords. Call us if you have problems next week accessing email at 973-5062.

We will be moving from our old iMail server to Microsoft Exchange Server 2007 for email. This move is imminent after a year of IT planning and coordinating with NetEnterprise and Envision.

Exchange will bring many new features...which will be explained later...including one of the best...Outlook Web Access (OWA) your Outlook program with a web feel and web access. With OWA, you can use a Web browser to access your Exchange Server mailbox from any computer with an Internet connection. You can use OWA with Internet Explorer or other browsers used with UNIX and Apple. This is an effective solution for staff and teachers who need roaming, remote access including home, or cross-platform functionality.

PLEASE HELP US - MAKE A CHANGE TO YOUR EMAIL SETTINGS TODAY Please open your email program and disable the feature to leave a copy of your email on the server. This will leave a copy of your email on the workstation you download to only.

For Outlook 2003 users use: Tools...E-mail accounts...View or Change existing E-mail Account... highlight mail2.midpac.edu...select change ...more settings ...Internet E-mail Settings Advance button and click on check mark to turn off. Those that need help please call Gini at 5062...she will be managing the Exchange Server and heading up the conversion process.
